Complete guide to installing, activating, and using NebulaSend

📥 1. Installation

System Requirements

  • Windows 10 or Windows 11 (64-bit)
  • 500 MB free disk space
  • 4 GB RAM (minimum)
  • Internet connection (for license validation and SMTP pool)
  • Administrator privileges (for installer only)

Step-by-Step Installation

1 Download the Installer

Visit nebulasend.com/download and click "Download Now". Save NebulaSend_Setup.exe to your computer.

2 Run the Installer

Right-click the installer and select "Run as Administrator". Click "Yes" when Windows asks for permission.

3 Follow the Installation Wizard
  • Choose installation location (default: C:\Program Files\NebulaSend)
  • Select whether to create a desktop shortcut (recommended)
  • Click "Install" and wait for completion
4 Launch NebulaSend

Check "Launch NebulaSend" and click "Finish", or double-click the desktop shortcut.

🔑 2. License Activation

📌 Note: If you don't have a license key yet, purchase one first. You'll receive it by email within minutes of payment.

First-Time Activation

1 Open NebulaSend

The license dialog will appear automatically if no license is found.

2 Enter Your License Key

Paste the license key you received via email (format: NEBULA-XXXX-XXXX-XXXX-XXXX) and click "Activate License".

3 Wait for Activation

The app will validate your key and bind it to your computer's hardware. This takes 2-3 seconds.

💡 Tip: After activation, a file named nebula.license is created in the installation folder. Do not delete or modify this file.

If License Validation Fails

Error Message Solution
"Invalid license key" Check for typos. Copy-paste directly from email.
"License expired" Renew your subscription on the pricing page.
"License locked to another device" Contact support to transfer your license.
"Server unreachable" Check your internet connection. Firewall may be blocking port 8000.

📧 3. Sending Your First Email

Prepare Your Recipient List

NebulaSend accepts two file formats:

CSV Format (Recommended)

Three columns: email, name, company (no header)

TXT Format

One email per line

john@example.com
jane@site.com
1 Click "Load"

In the right panel, click the "Load" button and select your CSV/TXT file.

2 Enter Subject and HTML

Fill in the subject line and HTML body. Use placeholders {name}, {email}, {company} for personalization.

3 Configure Options (Optional)
Option Description
Rotate From Cycle through multiple From Names (separate with |)
Rotate Subject Cycle through multiple subjects (separate with |)
HTML Randomization Low/Medium/High - makes each email look unique to spam filters
4 Click "START"

The app will begin sending. You'll see live logs and remaining count update in real-time.

⚠️ Important: Do not close the app while sending. Use the "STOP" button to pause gracefully.

⚙️ 4. Advanced Features

From Name Rotation

In the "From Name" field, enter multiple names separated by | and check "Rotate From".

Your Company | Your Team | Careers | HR Department

Subject Rotation

In the "Subject" field, enter multiple subjects separated by | and check "Rotate Subject".

Hello {name}! | Update for {name} | Important message for {name}

HTML Randomization

Check "🎨 HTML Rand" and select intensity:

  • Low: 30% indentation, 10% comments
  • Medium: 50% indentation, 20% comments (recommended)
  • High: 100% indentation, 40% comments

Preview HTML

Click "Preview" to see how your email will look in a browser before sending.

📊 5. Monitoring & Limits

Dashboard Stats

The right panel shows:

  • Total: Recipients loaded
  • Sent: Successfully delivered
  • Failed: Delivery failures
  • Remaining: Unsent emails
  • Daily counter: 📅 used/limit - color-coded (gray/yellow/red)

Daily Limit Enforcement

When you reach your daily limit:

  • The counter turns red
  • All SMTP threads stop automatically
  • You cannot start new campaigns until reset (midnight UTC)

Export Logs

Click "Export" to save sending logs to a text file with timestamp, license info, and daily totals.

6. Troubleshooting

Common Issues

Issue Solution
App won't start Run as Administrator. Check antivirus quarantine.
"No SMTP servers assigned" Validate license again. Contact support if persists.
Sending is slow This is intentional (200 emails/hour per SMTP). Upgrade plan for more SMTPs.
Emails going to spam Enable HTML Randomization. Check your content quality.
License dialog keeps appearing Delete nebula.license and re-activate.
